I am currently recruiting for a HR Systems Administrator in East Grinstead.

To provide flexible administrative & systems coordination and support to the HR department. Maintaining the role of SAP HCM Super-User for the department.

The is a role which could grow very easily with the right candidate. My client is ideally looking for someone who has good generalist HR knowledge and experience and maybe is looking to move out of the London scene, or an ambitious less experienced person who is looking for the opportunity to grow their skills and is capable of working on their own initiative and who likes a challenge.

RESPONSIBILITIES:

SAP, PAYROLL & PURCHASING

• Ensuring the accurate maintenance of the departments SAP records through regular reviews of data. Liaising with the department & our SAP external support function to ensure the system operates in accordance with our requirements, to include testing on occasions.
• Providing support and guidance to other members of the team on the SAP HCM system when required.
• Raise Purchase Orders for the department, amend PO limits, Goods receipt and liaise with suppliers.

RECRUITMENT & TRAINING:

• Provide support for the HR Managers in placing adverts, liasing with agencies and responding to direct applications via letter and e mail. Organising interviews, meeting and greeting new starters, administering psychometric tests, and assisting with interviewing in conjunction with a line manager on occasions. Collating new employee files, sending offer packs, requesting references, filing and other associated administrative tasks.
• Provide support for other members of the team to include assisting with the co-ordination of Assessment Centres and maintaining the Assessment Centre database.
• Support the training team with general training associated administrative tasks including but not limited to new staff inductions
• Administration of staff benefits : communication to staff, management of eye care vouchers & requests for adult education courses

HR SYSTEMS ADMINISTRATOR

STAFF WELFARE & RELATED RECORD KEEPING:

• Ensure accurate records of staff absence and approved leave are maintained by all departments. Amending the system where errors have occurred or changes are required. Provide daily and monthly statistics and reports for the Head of HR and other Heads of Department.
• Provide a confidential and empathetic listening ear together with advice and guidance where appropriate to employees, as required in matters relating to their employment & welfare.
• Liaise with The Club’s Occupational Health providers to arrange appointments for existing staff.

AD HOC

• Providing general support for the whole department taking sole responsibility of the office when other staff are out at training/recruitment events. Conversely being prepared to attend training/recruitment events off site throughout the year as and when required.
• Co-ordinating the staff council meeting, currently twice yearly. Organising the room, travel and accommodation arrangements, refreshments and taking minutes of the meeting. Processing with all associated expense claims.
• Liaise with charities regarding approved donations and managing and collecting for charitable fund raising days such as Comic Relief, Cancer Awareness.
• To develop and maintain an awareness of the other HR roles enabling a mutually supportive working environment, fostering a culture of continuous improvement across the wider HR team and enhancement of the professional reputation of the department

SKILLS & EXPERIENCE REQUIRED:

• Previous experience working in an HR Department
• Basic Employment Law knowledge
• SAP HCM/Payroll experience
• Database management
• Excellent Organisation/Planning/Problem solving skills
• Interested in People
• Great written & oral communication skills at all levels : tact, diplomacy, respect
• Attention to detail imperative
• Car driver : able to stay away occasionally (2 times a year)
