Location: City of London

Salary: £30,000 - £35,000 DOE

Cameron James is currently assisting a highly successful and reputable Financial Services company in the City of London in their immediate search for a Team Secretary to join busy their team on a permanent basis.

Reporting in to Senior Management, the main responsibility of the Team Secretary will be to provide full secretarial support to the department PA by carrying out all administrative duties and delegated tasks whilst covering the PA in their absence. Other responsibilities include;

• Assist in the organisation of meetings and lunches.
• Booking meeting rooms, venues, taxis etc.…
• Organisation of travel, including flights and trains as well as accommodation.
• Management of all document control including filing, scanning, photocopying.
• Ordering office supplies including stationary and business cards.
• Opening and distributing all post whilst packaging all outgoing mail.
• Maintaining and updating the company database ensuring that all client contacts are correct.
• Assisting relevant contact in collating the business line wins and losses information.
• Assisting with client take-on procedures including market research and obtaining relevant documentation.
• Secretarial typing of documents as directed.
• Assisting with the preparation of expense claims for department.
• Assisting relevant parties in raising Purchase Order numbers for payment of invoices.
• Monitoring overtime, sickness and holiday requests for the department.
• Assisting in joiners and leavers procedures including arranging necessary IT equipment and stationary.
• Dealing with any incoming queries and diverting calls to correct point of contact.

In order to be successful in this role, my client is looking for an enthusiastic, driven and professional individual who has the ability to work autonomously and off their own initiative. The chosen candidate will;

• Be able to work in a high-pressured environment and have the ability to work to tight deadlines whilst ensuring quality of work is never compromised.
• Have excellent communication skills and be able to update relevant parties on progress of tasks.
• Fast and accurate audio and copy typing (60 wpm).
• Be proficient in all Microsoft packages including Word, Outlook and Excel. (Must be able to formulate spreadsheets).
• Possess leadership skills that allow them to cover the PA in their absence.
