Our clients are a firm od successful Financial Advisers who have been established for almost 20 years. Due to this success require an experienced PA office Manager to support the Managing Director and office staff.
Duties:
Providing full secretarial support to MD
Dictation of letters and other correspondence
Production and distribution of letters, reports and presentations
Organising MD’s diary and ensuring MD is well prepared for meetings
Taking minutes at various management meetings & typing up minutes
Fielding calls for MD & taking messages
Organising food/refreshments for business lunches
Provide cover when necessary for Reception duties- mainly incoming/outgoing calls including post
Carrying out research for particular projects as requested by MD
Organising corporate & staff events
Managing First Aid
Purchasing various items for MD as and when required
Ad hoc paperwork & duties
Assist MD with Recruitment from vacancy to fill, through to arrival day
Help to ensure Job Spec is up to date
Assist in wording/presentation of any advertising
Act as receiver of applications and filter as agreed/forward to MD
Liaise with applicants (and recruitment companies) to offer 1st and 2nd interview dates as appropriate
Create and despatch offer and rejection letters
Define and request information needed from successful applicants prior to arrival, to share with MD for his files
Seek references on MD’s behalf
Ensure that all staff (inc new starter and leavers) know their holiday entitlement for the year, have a copy of the Holiday Leave Policy and the Holiday Leave request form
Act as the contact for all staff to request leave, referring requests onto the MD for signoff and keeping an electronic record and diary as they are agreed
This is a part time role 3-4 days per week with flexible working
