Office Administrator – Teddington (Kingston Upon Thames)

Base Salary – 26- 30k, Bonus, Pension and assistance with Additional Qualifications

*Please note this is an office-based position 5 days a week*

Established in 2015, Our client is a professional service firm that provides expert engineering services to professionals around the world in multiple jurisdictions, including engineering risk management services across multiple industries. Our client has offices across the Globe and its UK Headquarters is Based in Southwest London Due to continued expansion our client is now looking to add to its team an Office Administrator

Overview of the position You will be responsible for providing operational support to employees through a variety of tasks.

Responsibilities: The operation responsibilities include coordinating service processes related to jobs (instructions from clients) including:

  • Proposal/tender coordination & follow-up
  • Conflict checks
  • Job entry (QuickBooks, Salesforce, SharePoint…etc.)
  • Job acknowledgement to clients
  • Timesheet entry/tracking
  • WIP tracking (weekly meeting)
  • Prepare and issue Interim invoices (monthly) and final invoices (completion)
  • Final invoices

In addition, operation responsibilities include coordinating registration, service providers and external suppliers including:

Office space rental /contract (manage expiry dates, contract renewals)

  • Insurance (PI, Employer Liability, Property, health)
  • Service providers (cleaners, printers)
  • Software packages (license,renewals)
  • Subscriptions
  • Memberships
  • Licensure
  • Registration

Part of your responsibilities will include support to our HR functions including:

  • Maintenance of confidential employee records
  • Payroll
  • Tracking of personal time off (holidays, sick time)  

Provide support to the team:

·         Travel arrangements through websites and travel agents

·         Inspection scheduling

·         SharePoint calendars

·          Skills

·         Excellent computer skills (Microsoft 365)

  • QuickBooks, Salesforce a major plus
  • Excellent communication skills both verbal and written.
  • Commitment to high professional ethical standards
  • Ability to work within a small team.
  • Ability to work unsupervised.
