We are assisting an established construction consultancy business recruit a dynamic and driven team administrator to support a busy team.

Reporting into the Office Manager and supporting the team, the main focus of the role will be provide administrative support, including document processing and production, checking processes, tracking of fees and general administration. Additional responsibility for reception and office supplier contracts also form a minor part of the role. Key duties and responsibilities will include;

• Providing administration support on various projects
• Creation and maintenance of team contacts, project directories, creation and drawing registers
• Checking reports and admin around fee proposals and planning reports
• Typing up minutes, formatting reports, PDF manipulation, contract preparation.
• Fees - assistance in maintenance of office fee records and co-ordination of monthly fees issue.
• Travel and accommodation bookings
• Archive management - co-ordination of records and physical archive assistance to the team
• Marketing support to head office and office staff - co-ordination of marketing materials to site.
• Reception - first point of contact for callers and on-site guests, office and guest calendar co-ordination, conference call set up, meeting management, post etc.
• Communicate and maintain third party and business supplier`s relationships
• Office Maintenance - stationery orders, staff welfare supplies, office H&S compliance, shredding etc
• Business Compliance - Health & Safety co-ordinator support, First Aid and Fire Marshall Backup, Landlord site issues/communications

For this role is it essential that candidates have strong administration experience and ideally have worked in a team support role or office administrator.

Strong IT skills are essential - MS Word, Excel and PowerPoint and ideally candidates will have supported on projects or worked in a busy team. Construction, Engineering or similar experience would be an advantage although not essential.
