A busy successful firm of advisers are looking to recruit an industry experienced Senior Administrator and PA to Director to join a fast paced, friendly and supportive team.
Financial Services qualifications or part qualifications would be an advantage.
You will provide support for the senior Partner of the firm, managing his diary, helping to build client relationships with excellent administration support, and will be aided in this role by an assistant. Therefore, industry experience, excellent organisational skills and the ability to prioritise are essential, as are typing skills.
Duties:


Diary Management
Making and confirming client appointments on adviser`s behalf.
Providing list of appointment details to receptionist for her to send weekly client appointment confirmation text messages.
Booking meeting rooms and liaising with other administrators in respect of room bookings as necessary.

General Correspondence
Receiving all post for adviser - both hard copy and via Cloud storage :dealing according to urgency and subject, passing to adviser for action as appropriate.
Updating database with any relevant information (change of address etc).
Audio typing client correspondence as required.
Preparing and recording invoices as required.
Saving and recording client correspondence on database.
Upkeep of paper and database files ensuring compliance standards are met.

Schedules/meeting preparation
Preparing client schedules updating policy information held on database, liaising with insurance companies and other providers as necessary.
Preparing new client pack for new client meeting, ensuring most up to date regulatory documents are enclosed.
Updating client data on database after existing client meeting.
Ensuring client anti-money laundering evidence is obtained, in date, correctly certified and recorded on database and file.
Checking meeting files to ensure that application packs are complete and ready for presentation to client.
Ad hoc preparation of quotations and application packs when required (usually done by Paraplanning Team).
Recording quotations on database, preparing quote figures in a spreadsheet format for ease of communicating to client where required.

Processing New Business
Check application form, AMLID, client report etc
Prepare a new client file including a filing tab.
Online business submission, updating of database and file, copies to client, chasing applications through to completion, liaising with clients throughout.
Movement of funds onto platform for investment, communication with Investment Team and clients
Issuing of policy documentation where appropriate.
Complete paper and electronic records, file in cabinet.
