Sector:Financial Services

Region : South East England

Location: Ewell

Salary: up to £45,000 DOE

Job Ref.: CL0707SAF

Job Information

Our client is a whole-of-market financial planning practice based in Surrey, with an established team of advisers, paraplanners and support staff. They provide high-quality financial planning to a private client base that includes City professionals, families, business owners, retirees and HNW individuals, many of whom hold investable assets of £250,000 to £5 million.

They have a strong reputation built over many years and a team culture that is professional, collaborative and supportive. This is a busy practice with a friendly working environment.

The Role

They are looking for an experienced IFA Administrator to join the team and work closely with the Managing Director and a second adviser, supporting approximately 120 client households. This is a senior administration role and the primary focus is end-to-end client and investment administration, carried out to a high standard with minimal supervision.

You will be supported by a junior administrator and will work alongside a paraplanner. Over time, and for the right candidate, there is scope to develop into a paraplanning function or management, though this is not a requirement of the role and a long-term career administrator pathway is equally valued.

Key Responsibilities

End-to-end client administration: new business, onboarding, annual reviews, and ongoing client servicing.

Processing trades, withdrawals, and investment instructions on platforms including AJ Bell, Aviva, and Transact.

Overseeing Letters of Authority (LOAs) and managing the transfer process.

Maintaining and updating client records accurately within Plannr CRM.

Coordinating and preparing paperwork for annual review meetings.

Liaising directly with clients, providers, and platforms in a professional and timely manner.

Supporting the rebalancing of model portfolios following annual reviews or client investment/withdrawal events.

General office administration and contributing to the smooth running of the business.

Over time: assisting with preparation and drafting of annual review letters, including basic recommendations such as adjusting withdrawals or investing surplus cash, and preparing or updating client financial plans in Voyant.

The ideal candidate will have:

Approximately two years’ experience in an IFA or financial planning environment.

Solid understanding of the IFA advice process, including platforms, product wrappers (ISAs, pensions, bonds), and the administration that supports them.

Experience with or working knowledge of AJ Bell, Aviva, and/or Transact platforms (desirable, not essential).

Familiarity with Plannr or a comparable CRM system and experience with Voyant cashflow modelling is an advantage.

Strong attention to detail, the ability to manage competing priorities, and a proactive approach to getting things done.

A professional and personable manner when dealing with clients and colleagues.

Salary & Benefits

£30,000 – £40,000 basic salary, commensurate with experience. Up to £45,000 for an experienced senior career administrator.

Employer pension contributions above the statutory minimum.

25 days’ annual leave plus bank holidays.

Full study support and exam funding for professional qualifications.

Potential for one day per week working from home following completion of training.
