Job Description

Job Title: New Business & Underwriting Administrator
Department: New Business Processing
Reporting to: Managing Associate – New Business Processing
Hours: Full time, five days per week
Location: Monument, Central London – hybrid, minimum of three days per week in the office

Role Purpose

This is an experienced, permanent administration role on the new business and underwriting desk, working under the Managing Associate. The postholder handles the administration of allocated life insurance and protection cases for ultra-high-net-worth clients from instruction to policy issue – applications, medical and financial underwriting requirements, provider liaison, trust paperwork and case tracking.

Key Responsibilities

Case Administration & Pipeline Management

  • Manage the new business cases allocated by the Managing Associate, from receipt of instruction through to policy issue and cover on risk.
  • Prepare and submit applications, checking them for completeness and consistency with the adviser’s instructions and client information before submission.
  • Keep an accurate, current record of every case on the firm’s CRM (currently Plannr), with a clear status, next action and chase date at all times.
  • Escalate complex queries or delays to the Managing Associate promptly.

Underwriting Desk

  • Liaise day to day with insurers’ underwriting and new business teams on allocated cases.
  • Financial evidence: coordinate financial underwriting for large sums assured – financial questionnaires, accountants’ letters and evidence of income and net worth – liaising with clients’ accountants, lawyers, family offices or private banks where authorised.

3. Policy Issue, Trusts & Completion

  • Prepare and check trust documentation and policy issue paperwork, and coordinate signing, witnessing and return so that policies are placed in trust at outset where the adviser has recommended it.
  • Confirm cover is on risk and premium collection is in place; check policy documents against what was applied for and accepted, resolve any discrepancies with the insurer, and issue documents to clients in line with firm standards.

Compliance, Quality & Data

  • Work within documented procedures and the firm’s compliance framework, including FCA requirements, Consumer Duty, anti-money-laundering and client due diligence checks, and UK GDPR.
  • Comply with the FCA Conduct Rules that apply to all staff under the Senior Managers & Certification Regime.

5. Working With the Team

  • Give advisers and the Managing Associate clear, honest updates – including bad news early.

Experience & Skills – Essential

·         Minimum 3 years’ experience in a demanding administrative role, preferably within Financial Services, with excellent attention to detail and the ability to work independently, prioritise effectively and recognise when issues require escalation

  • Proven ability to manage a multi-stage caseload independently and accurately.
  • Proficient user of Outlook, Word and Excel, and quick to pick up CRM systems and new technology.

Experience & Skills – Desirable

  • Experience in life or protection new business or underwriting administration, at an adviser firm, broker or insurer.
  • Experience of high-net-worth or large-case protection (e.g. large sums assured, whole of life cover for inheritance tax planning, business protection).
  • A relevant CII qualification (e.g. R05 Financial Protection) – helpful but not required.

What is Offered

An attractive package for the right candidate, including:

  • Hybrid working
  • Private medical insurance
  • Income protection
  • Life cover
  • Generous holiday allowance
