Job Information

I am currently recruiting for an experience HR Administrator in central London. I am keen to speak to HR Administrators who have experience in the retail, distribution or professional services sector.

This is an urgent vacancy and the successful candidate will need to provide administrative support to the Human Resources Department. Ensure that the systems and procedures run smoothly so that the department is effectively supported at all times providing an efficient service both internally and externally.

The successful candidate must have worked as a HR Administrator recently or in a similar HR position.

RESPONSIBILITIES

HR Administration

• General ad hoc changes e.g. preparing letters to confirm changes to employees’ contracts, preparing letters for maternity and paternity leaves etc.
• Recruitment : scheduling interviews, managing internal job postings, recruitment website, mailbox and applicant tracking system
• Checking and copying of visas and passports for all new starters and interns to the company.

Training and Administration

• In conjunction with other HR colleagues, host the weekly Monday morning HR induction for new starters
• Co-ordinate and book training venues and facilities as required.
• Undertake administration relating to the Learning Management System (LMS)

Projects

• The HR Administrator will become involved with other departmental projects as needed.

Systems:

• HR Database Management (SAP HR) ensuring quality of information stored, updating records accordingly, manage ad hoc and regular monthly reports

Payroll administration :-

• Inputting payroll actions onto the HR database on a monthly basis
• Preparing information to send to ADP (payroll) from SAP/Excel
• Liaising with Finance and ADP to resolve payroll issues
• Processing of invoices on SAP : ensuring invoices are dealt with promptly and liaising with Accounts Payable over any queries or problems

General Administration:

• Working as part of a close knit HR team, providing assistance as and when needed
• Managing the scheduling of the Floating Assistants (approximately 20 people)
• Carrying out company reference checks and screening by liaising with our 3rd party provider
• Issuing reference request letters
• Following up with our third party provider to obtain completed reports and flagging any issues to the Human Resource Managers

Provide general departmental support:-

• Answering phone calls
• Dealing with general queries regarding employee relations matters
• Updating Security/ IT regarding weekly starters and leavers
• Responding to speculative letters
• Providing reference letters for employees
• Arranging meeting rooms and booking catering if required
• Managing the eye-care voucher scheme
• Arranging season ticket loans for employees
• Dealing with SAP performance management queries
• Departmental Filing

Office management:-

• Responsible for collecting and opening post
• Ensuring that stationery is up to date, printers have sufficient paper supply
• Management and archive of departmental and employee files

SKILLS / COMPETENCIES / EXPERIENCE:

• Highly organised, motivated and experienced administrator who enjoys working in a busy environment and dealing with people
• Maintain the highest standards of confidentiality
• Calm under pressure, with a common sense approach and a willingness to help wherever required
• Excellent systems knowledge (Word and Excel is essential, previous use of SAP and databases would be an advantage)
• Analytical and numerate
• Ability to prioritise effectively and good attention to detail
• Strong interpersonal/communication skills (ability to build relationships and gain credibility in order to achieve results)
• Excellent team player
