I am currently recruiting for an experienced HR Administrator to join Aeronautics organisation near Gatwick for an immediate start.

The purpose of the role is to assist the Regional HR Advisors and Manager with all HR Administration and reporting covering all generalist and specialist areas when required. Also to ensure that the HR database is maintained and accurate.

The successful candidate will have worked in a similar position who has high attention to detail, has experience of using a database and producing report using the database. Recruitment experience is highly essential and therefore a recruitment administrator or a team administrator within a recruitment agency would be suitable for this role due to the right candidate needing to coordinate and support the team in various workload.

This is a role which would suit someone with an interest in working within a fun and hardworking team and looking to get stuck into some exciting team projects.

As previously mentioned, this is an urgent permanent position and requires someone who can start immediately.

RESPONSIBILITIES:

• Assist the Regional HR Advisors/Manager with all HR administration when required.
• Answering all external phone-calls that come through to the HR department and acting as a gatekeeper to prevent unsolicited sales calls.


• Assist the UK Regional HR Advisor with the following:

• • Ensuring that all vacancies have a completed and approved recruitment request and job description. • • Collating CVs for vacancies and sending them on to the relevant manager(s). • • The set up and booking of interviews, including the administration of candidate testing where necessary. • • Provide support to managers on the interview process when required. • • Ensuring that all recruitment documentation is completed and obtained from manager(s) and that the information provided by candidates is uploaded to the recruitment module of the HR database. • • Making sure that recruitment documents are only kept for as long as necessary, ensuring compliance with Data Protection law. • • Creating and sending reference requests following any successful placements, provided consent has been given by the candidate. • • And any additional duties as requested.




• Developing the systems ongoing to meet the needs for the board reporting.
• To complete employee reports on request of senior management across the group.
• Maintain the HR database and highlight discrepancies to the Group HR Manager.
• Update and monitor holiday usage and highlight to the managers unused holidays so that this does not negatively impact the business.
• Produce Group reports on all specialism areas when required.
• To complete employee statistics for the HR team to support their specialism functions and generalist roles when required.
• Ongoing development of the system to include reviewing the performance management tool, absence management tool and the recruitment tool.
• Print off monthly reports and chase outstanding data to ensure legal compliance.
• Manage the task list and highlight urgent tasks to the relevant managers.
• To maintain and assist the HR team with the new recruitment tool through Simply Personnel to ensure the data held is up to date and accurate for board reporting.
• To assist all staff with HR database and self-service queries when they occur.


• Research and maintain accurate records on data protection regulations surrounding the retention of employee data in each office location.
• Ensure that employee data is not held for longer than legally required and to ensure data is managed in line with local requirements.
• Assist the UK Regional HR Advisor with the following:

• • The creation of new joiner documents such as offer letters • • Creating induction timetables for new staff by contacting relevant departments. • • Ensuring that references are completed for all new staff members. • • Uploading new staff details to the HR database and issue employee self-service details along with training. • • Making UK Regional HR Advisor aware of upcoming or outstanding probationary reviews following the initial induction period. • • And any additional duties as requested.




SKILLS AND EXPERIENCE REQUIRED:

• Experience gained in a similar position.
• High degree of computer literacy and particularly an excellent knowledge of word processing and spreadsheets.
• Detailed knowledge of Microsoft Office software; PowerPoint, Word, Excel, Outlook.
• Experience of using HR software/database systems is desirable but not essential.
• Ability to adopt a pro-active approach to problem solving working closely with colleagues as required and offering solutions as appropriate.
• Applies personal organisation strategies and processes to prioritise and effectively manage a large and diverse workload in a pressured environment.
• Strong time management skills with an ability to plan ahead, anticipate requirements, problems and obstacles, and an ability to juggle competing priorities successfully, and to work to tight deadlines.
• Ability to work on own initiative without close supervision.
• Ability to focus on achievement of goals despite setbacks.
• High level of administrative skills to aid personal organisation.
• Ability to communicate information and ideas through a range of media to various audiences.
• The ability to influence others, to liaise with a wide range of people at all levels and across different cultures and to act with credibility, tact and diplomacy.
• Verbal and written fluency in English. The ability to work in a second language would be a strong advantage.
• Strong interpersonal and negotiation skills with proven experience of relationship management with key investors or stakeholders.
