I am currently recruiting for an experienced PA to support the Sales Management team for a Media organization in central London.

This is an initial Temp to Perm position and they require someone who can start immediately.

The successful applicant will have worked in a similar position previously. They will have excellent attention to detail and excellent work word and excel skills. They must be highly organisaed and be able to multi task tasks to deadlines.

The organisation is a leading Media company where the culture is fast paced and busy, so the successful candidate will need to be able to take direction and build professional relationships quickly.

RESPONSIBILITIES:

• Extensive diary management including: scheduling internal & external meetings/lunches/events etc. ensuring diaries are up to date.
• Preparing agendas & taking minutes for monthly meetings.
• Tracking meetings and also booking rooms, restaurants, venues for meetings, lunches, events etc.
• Monitoring & filtering inbox and flagging important emails for the attention of the SMB.
• Anticipate needs i.e. collating materials for meetings, booking cabs/restaurants as necessary etc.
• Acting as first point of contact for National, Regional & Direct Sales teams.
• Processing monthly Visa & Cash expenses for the individuals on the SMB.
• Logging & monitoring team holidays & absence.
• Scheduling Inductions/training programmes for new starters as required by line managers, including arranging regional visits.
• Working closely with PA to MD - Sales to ensure the smooth running of the department.
• Arranging travel/accommodation as necessary.
• Covering PA to MD - Sales during absence.
• Sorting & distributing mail.
• Ad Hoc: Typing letters, ordering stationery, raising purchase orders as necessary, arranging business gifts, booking hire cars/meeting rooms, DSE Assessing, lending out laptops, filing and general administration.

KEY SKILLS AND EXPERIENCE REQUIRED:

• A good working knowledge of Outlook, Word, PowerPoint & Excel is essential
• A good command of written and verbal English
• Previous PA experience at Director/Senior Manager level
• Excellent organisational and prioritising skills
• Proactive individual with excellent time keeping skills
• Ability to use own initiative with a flexible and accommodating attitude
• Ability to pay attention to detail and work under pressure
• Ability to work as part of a team or autonomously
• Would suit someone who is confident, assertive and outgoing
